Room Reservations
Bookings for The Great Hall and West Room in Alumni Memorial Hall need to be done through Housing and Conference Services at amhevents@mcmaster.ca. Bookings for The Buttery and UC Bar Lounge can be done at buttery@mcmaster.ca. All of these spaces are available for private functions in early mornings, late afternoons/evenings and weekends
Menu Selections
Your menu selections may be made from our suggested list of menus. However, some restrictions may apply because of the size of your group. Our catering coordinator can work with our chefs to create a custom menu to suit your event. Menu needs to be finalized at least 10 business days in advance to ensure we can provide the best service.
Cancellations
Should it be necessary to cancel your event, please inform us at buttery@mcmaster.ca as soon as possible. To avoid any charges our office must be informed at least 5 full business days in advance of your function. (48 hours for coffee only services)
Pricing
The regular food and beverage prices listed in the package are applicable, provided all orders are placed and finalized at least 10 full business days before your event and meet the minimum numbers required. The late price of an additional 10% will be charged if booked or changed after the 10-business day minimum. Coffee service only requires 5 days in advance of the event.
All events include China service.
Please note there are minimum food and beverage charges for all events at AMH.
For events held after 6 pm: $750 minimum food and beverage
For events held on the weekends: $2,000 minimum food and beverages
Changes/revisions made to your catering order less than 10 business days prior to the event will result in a $30 fee each time a change is made. This includes the following:
- Guest count revision
- Adding late dietary restrictions
- Adding to, or removing menu items
- Revising start time and /or end time
- Any other details that were not confirmed by the deadline that impact the scheduling and/or ordering.
To avoid multiple late fees, please send any of the changes at the same time.
A request to make any revision to the contract 24 hours prior to the event will incur a change fee of $200 if we are able to make the change. Please do not make changes on the day of the event.
If your event runs longer than stipulated in the contract, we will add a labour fee of $30 per hour per staff member who must stay late.
All events held on statutory holidays will be charged an additional 20% to cover the increased labour costs.
Guaranteed Numbers
A guaranteed number of guests must be established 5 business days prior to the event date. We will further accept an additional 10% over and above the guaranteed number up to 48 hours prior to the event. You will be financially responsible for the guaranteed number, or the actual number of persons served, whichever is greater.
Food Safety
Providing quality safe food is our highest priority. Catering makes every effort to ensure that hot and cold food items are kept within the safe temperature ranges. To protect your health and prevent food born illness from occurring, the catering staff is required to remove all perishable food from the event.
Invoicing
Please provide us with your Mosaic Chartfield String at the time of booking. For any non-University accounts, full payment will be required 5 business days prior to the event and all prices would be subject to applicable taxes.
